Minutes of meeting held on January 11th 2018 commencing at 19:00

Record of Attendance:
  • Mr R. Kosovich
  • Mr S. Mailey

  • Mr D. Hawkins
  • Ms B. Ng

Proxies:
  • None

Absent:
  • Mr B. Mahony

Quorum:
  • A Quorum was Present with 83% of council members in attendance.

General Business:

Pool rectification program:
- S. Mailey advised that an automated pH system had been installed and that additional required items were in the pipeline.
- Discussion took place and it was agreed that;
- - Equipment will be installed as required by the Health Dept. of W.A. and the City of Vincent.

Painting Program:
- Discussion took place regarding funding and the next area of the building that would be painted.
- S. Mailey commented that the walkway areas of the front building were in particularly bad condition and suggested this area be prioritised.
It was agreed that;
- - Quotations will be sought and provided to council for review.

Security/Surveillance program (/viewtopic.php?t=960):
- Discussion took place regarding the installation of security pedestrian gates and the next steps required.
- It was agreed that;
- - S. Mailey will provide information and pricing for security gates to council.
- S. Mailey spoke about the need to install video recording equipment.
- It was agreed that;
- - S. Mailey will provide a quotation for a video recording device to council for consideration.

Solar update (/solar)
- S. Mailey advised that the solar generation system was in and running and had already led to a significant reduction in electricity consumption.

Repairs to asphalt/curbing in visitor parking area:
- Discussion took place regarding the need to fix the curbs before fixing the asphalt.
- It was agreed that;
- - S. Mailey will provide a quotation to fix curbing to council for review.

Greening program - S/E corner of complex (/viewtopic.php?t=1458):
- S. Mailey advised that the lawn had been removed and the area was ready to plant
- Discussion took place and suggestions were made of suitable plants;
- It was agreed that;
- - S. Mailey would speak to the gardening contractor and arrange a quote to plant the area with the agreed plants (Hibiscus)

Is there alternative to the current gardening situation that may reduce the impact of maintenance costs?
- R. Kosovich asked the other members if there was any areas of the garden that could be modified to reduce the ongoing maintenance.
- Discussion took place and it was agreed that;
- - There are no areas of the garden that could be modified that would produce any significant cost savings.

Expenditure efficiencies in relation to fixed costs e.g. Gardening, pool etc:
- R. Kosovich asked the other members if there was any changes that could be made to the regular maintenance that could reduce maintenance costs.
- Discussion took place regarding the time between garden and pool services and it was agreed that:
- - The current schedule for pool servicing should not be modified.
- - The current schedule for garden servicing in summer (2 weeks) should not be modified
- - The current schedule for garden servicing in winter (3 weeks) should be reviewed and possibly reduced to 4 weeks in the middle of winter.

Fans in bathrooms and new regulations re proximity to shower:
- S. Mailey advised the other members that the regulations had changed regarding the placement of fans in proximity to showers and that some of the fans were no longer compliant and that they would not be able to replaced in the same location when they needed replacement.
- Discussion took place and it was agreed that;
- - The situation will be assessed further when needed.

Cleaning of walkway floors/walls/ceilings:
- S. Mailey advised that the council had received queries from owner regarding the condition of the walkways and advised that the walkway areas of the front building were in particularly bad condition due to their proximity to Charles Street.
- Discussion took place and it was agreed that;
- - The strata council would review and investigate costs associated with cleaning and/or painting.

Break-ins / Theft / Security:
- S. Mailey advised that the council had received numerous recent complaints regarding theft and vandalism.
- S. Mailey commented on the importance of securing the pedestrian gates and all members present agreed.
- Discussion took place and it was agreed that;
- - S. Mailey would prepare and present quotations to council.

Planting of area west of bins (Benita):
- B. Ng proposed the planting of natives and suggested Kangaroo Paw be planted in this area as they are low and would not obstruct the view of oncoming vehicles.
- S. Mailey commented that the irrigation to this area will be ready in a weeks time and the planting could then take place.
- Discussion took place and it was agreed that;
- - B. Ng will arrange the planting of the area in the coming weeks.

Closure:
- There being no further business the meeting closed at 20:00.
